A REGULAR MEE= TING of the 2011-2012 Board of Directors met at St. Mary’s-In-The-Valley Episcopal Church, Corner of San Vicente Rd. and 12^th St., Ramona= , CA 92065. The meeting was called to or= der at 6:30 p.m. by President Bob Hailey

ORDER OF BUSINESS

MINUTES OF PREVIOUS MEETINGS:

Motion made by Mary Halliday, seconde= d by Tom Taylor, and carried without dissention that the minutes of a regular bo= ard meeting held on 11/2/11 be accepted as presented.

PRESIDENT’S REPORT:

· Music Fest- Less than 4 months away, need to start moving. We are short key players so will need all hands on deck

· = Service Projects- Have not had a service project in a while and need the members to start searching for opportunities.=

· = DCM- We are hosting on February 4^th, 2012. Hoping for strong atten= dance.

· = Committee Chairs- The president plans on steppin= g in as needed to help facilitate progress and participation

· = Membership- Bob brought up general concerns about membership. Paul Tarr comment= ed on having exit interviews with members who have resigned. Tom Taylor suggested that Bob brin= g up his concerns at the regular Saturday meeting.

SECRETARY’S CORRESPONDENCE & REPORT: None

TREASURER’S REPORT: Reviewed and filed as a permanent par= t to these minutes.

· The board members had numerous questions/comments about the treasure’s report provided by Jessica Hickman.

o &nb= sp; Jessica Hickman<= /st1:PersonName> needs to call Jared at Chase Bank to get her name on the account

o &nb= sp; Jim Cooper brought up the timing of statemen= ts and suggested the Board meetings be moved to the middle of the month. This would give the treasurer ampl= e time to balance the books before the Board meeting each month. Bob Ha= iley suggested waiting another month to see if the timing improves.

o &nb= sp; Joker Draw- Jess= ica Hickman has been depositing the balance of the joker draw into the admin account, currently the joker draw has raised $125.00. Richard Wade advised Jessica to cu= t a check of half the current balance once somebody wins.

o &nb= sp; Jim Cooper confirmed with the treasurer that= she is “comfortable” with the current account balances. Jessica Hickman confirmed the balances are at a “comfortable” state.

STANDING COMMITTEE REPORTS: (Report to Kiwanis Internationa= l by Secretary Required)

Community Service: Chairman Walter Anslie submitted a report to the Secretary and is attached separatel= y as a permanent part of these minutes.

Human & Spiritual Values:<= span style=3D'mso-spacerun:yes'> Chairman Ellen Duel reported t= hat she provided invocations at the regular Saturday meetings.

Inter-club: Chairman Kelley Bayne did not subm= it a report. However, Bob Hailey noted that three members attended t= he November DCM.

Service Leadership Program= :

Young Children Priority One: Chairman Mary Halliday reported:

·       Made 14 Pediatric Trauma dolls for Rady Children's Hospital. 2 persons

o      (Ellen cut them out for me.) 14 hours.

·       Delivered the 24= I made in October to Elizabeth Parker at the DCM in November. She'= s a member of Division 100 and delivers them for me.

·       Delivered 19 boo= ks to Head Start. 2 people. Jim Cooper donated the 19 children's Golden Books from his collection.

Youth Services: <= /span>Chairman Mary Halliday reported:

·       $500 donation presented to Eddie Bacorn for the A.V.I.D. program. (Advancement Via Indivi= dual Determination)

·       H.O.B.Y.- Registrations for two students from Mt. Valley Academy.

OTHER COMMITTEES:

Public Relations: Chairman Tom Taylor briefed us and= provided copies to the secretary on the numerous club activities which were submitte= d to local publications during October.=

Membership & Growth: C= hairman Paul Tarr reported:

·       0 inductions

·       0 new member applications

·       0 resignations

·       Social Activities: 8 members attended a roun= d table at the Ramona Café.

Focus = Group: Chairman Jim= Cooper reported Paul Tarr has not made copies of the club By Laws, Standing Rules,= and Mission Statement. Jim has pl= anned on putting them together with a cover letter and providing them to the club members to provide feedback on potential changes and/or additions. Kevin = Bell offered to have hardcopies printed out for each member and deliver to Jim Coopers house of residence this Saturday, December 10^th.

Student of the Month: Chai= rman Mary Halliday reported:

·       Honored Student = of the Month Ryanne Shults from = Mt. Valley Academy.

UNFINISHED BUSINESS:

Kiwanis Road Sign: No Progress

Music Fest Bank Accounts: = Account has been opened. Jessica Hickman needs to make a phone call to = Chase Bank to receive access.

Club Survey: Bob Hailey will take ownership and complete th= is month

Community Inventory: Bob Hailey will take ownership and complete in= the next few weeks

Retrieval of Poker Chips: = Bob Hailey will call Rick Terrazas to get the = poker supplies back

Treasurer’s Audit: <= st1:PersonName w:st=3D"on">Mary Halliday stated that she spoke with Ellen Duel. Ellen Duel has confirme= d she will perform the audit January, 2012.

NEW BUSINESS:

Music Fest= : Paul Tarr met with Greg from Rotary. Three or Four committees need someone to chair them and take ownership. There were discuss= ions around having either a four or six hour event. Paul Tarr suggests that there shou= ld be a vote and majority rules. Donations and sponsors need to be contacted, as well children’s activities need to be coordinated. Paul Tarr will call a music fest meeting after this Saturday’s regular Kiwanis meeting.

Wheel Chai= r Ramp: Jim Cooper was asked by Ellen Duel to check into a wheel chair ramp that is needed by a local senior citizen. After looking into the request, Jim Cooper learned the construction = of the ramp is very complex and strict rules and regulations need to be followed. Additionally, there= is risk at stake for the club. J= im Cooper requested another 30 days to look into the project and will bring an update to the January, 2012 Board meeting.
