A REGULAR MEE= TING of the 2011-2012 Board of Directors met at St. Mary’s-In-The-Valley Episcopal Church, Corner of San Vicente Rd. and 12th St., Ramona= , CA 92065.   The meeting was called to or= der at 6:30 p.m. by President Bob Hailey

ORDER OF BUSINESS

 

MINUTES OF PREVIOUS MEETINGS:

Motion made by Tom Taylor, seconded by Jim Cooper, abstained by Richard Wade and carried that the minutes of a regular board meeting held on 12/7/11 be acce= pted as presented.

PRESIDENT’S REPORT:

SECRETARY’S CORRESPONDENCE & REPORT: 

 

<= span style=3D'font-family:Symbol;mso-fareast-font-family:Symbol;mso-bidi-font-fa= mily: Symbol'>·       No correspondence this passed month.  Need a community inventory to buil= d a push system of service projects in town

<= span style=3D'font-family:Symbol;mso-fareast-font-family:Symbol;mso-bidi-font-fa= mily: Symbol'>·       Dan McAllister will be the guest speaker on January 28th.  This= is a good opportunity to bring in prospective members.  Bob Hailey suggested a press relea= se to Tom Taylor.

 

TREASURER’S REPORT: Reviewed and filed as a permanent par= t to these minutes.

 

·       IRS form 1090 was completed this passed Satu= rday

·       Other forms, such as the RRF-1 and S1-100 are filed in odd years and will be due next year.

·       Need to file  justice forms NRP-1 and NRP-2.  Club Secretary Kevin Bell to take action.

 

 

STANDING COMMITTEE REPORTS:  (Report to Kiwanis Internationa= l by Secretary Required)

 

Community Service: Chairman Walter Anslie submitted a report to the Secretary and is filed separately a= s a permanent part of these minutes.

 

Human & Spiritual Values:<= span style=3D'mso-spacerun:yes'>  Chairman Ellen Duel did not su= bmit a report

 

Inter-club:  Chairman Kelley Bayne did not subm= it a report

Service Leadership Program= : No Report.

Young Children Priority One:  Chairman Mary Halliday reported:

·       Head Start:

o      Delivered 11 books for their literacy program. 1 person, 1 hours, 0 cost to club.

 

o      Delivered over 90 toys. 1 person, 2 hours, 0 cost to = club.

 

·       Rady’s&nbs= p;Children's Hospital Toy Drive: 

o      Donated 23 toys for children who were hospitalized du= ring Christmas holiday. 1 person, 1 hour, 0 cost to club

&nbs= p;

Youth Services:  <= /span>Chairman Mary Halliday reported:

 

·       Toys for Troops = Kids:

 

o      Delivered over 50 toys to the VFW for distribution throughout the military housing here in Ramona. 3 peo= ple, Pat Bell, Tom Taylor, Mary Halliday, 9 hours, $251 cost to club.

 

·       St. Mary's in the Valley Episcopal Church Outreach Christmas program:

 

o      Delivered 61 stuffed animals and 24 toys, total 85. 1 person, 2 hours, 0 cost to club.

 

·       Ramona Food and Clothes Closet’s "Share Your Holidays" event:

o      Collected over 130 toys to distribute during this eve= nt. 1 person, 5 hours, 0 cost to club

 

 

 

 

OTHER COMMITTEES:  

 

Public Relations:  Chairman Tom Taylor briefed us and= provided copies to the secretary on the numerous club activities which were submitte= d to local publications during December.

 

Membership & Growth: C= hairman Paul Tarr did not submit a report.

KwanCo= m: Chairman Mary Halliday did not submit a report.

Focus = Group: Chairman Jim= Cooper reported the cover letter of the focus packets has been approved by Preside= nt Bob Hailey.  The packets have = been either hand delivered or mailed to the membership.  Mary H= alliday has volunteered to be a member of the Focus Group and the first meeting will take place in February.  =

 

Student of the Month: Chai= rman Mary Halliday did not submit a report

 

 

UNFINISHED BUSINESS:

Kiwanis Road Sign: No Progress.  Ri= chard Wade owns the action item.

Music Fest Bank Accounts: = Treasurer Jessica Hickman can access the account.  Issued closed.

Club Survey: No Progress.<= span style=3D'mso-spacerun:yes'>  Secretary Kevin Bell will take ownership.

Community Inventory: No Progress.  President Bob Haile= y owns the action item.

 

Retrieval of Poker Chips: = Mike Harrison is currently in possession of the poker supplies.  Bob Hailey will retrieve them and = hand them off to Jim Cooper who will host the poker tournaments.

Treasurer’s Audit: No Progress.  Jim Cooper suggeste= d that we formally ask that Ellen Duel perform the treasurers audit.

Wheel Chair Ramp: Jim Coop= er spoke with the complex manager who noted there is an opportunity to relocate the resident such that a ramp is no longer needed.  Return phone call is pending.  The manager has an impressive hist= ory with Lyons and Rotary service clubs, and has shown interest in Kiwanis given our enthusiasm in helping seniors and researching a difficult endeavor.  Jim Cooper is working to bring the complex manager to a Kiwanis meeting.

Board Meeting Date & Time<= /b>: Decision by President Bob Hailey made to keep the current schedule or board meeting = date and time.

NEW BUSINESS:

H.O.B.Y Representative: Se= eing Pete Casalegno has left Kiwanis, we need a new representative for the H.O.B= .Y. program.  Jim Cooper has volun= teered for 2012/2013 year.

Club Bank Account: Treasur= er Jessica Hickman needs administrator access to = the club’s bank account.  Jessica Hickman owns the action item to get in= touch with Chase to make it happen.

Website Calendar: Tom Tayl= or has removed the outdated event calendar from the club website.  Tom also suggested we do not repla= ce it with a current one given the limited amount of events the club is involved with.  President Bob Hailey concurred.
