A REGULAR MEETING of the 2010-11 Board of Directors at St. Mary’s-In-The-Valley Episcopal Church, Corner of San Vicente Rd. and = 12^th St., Ramona, CA 92065. The meeting was called to or= der at 6:00 p.m. by President Elect Bob Hailey.

VOTE TO APPROVE AGENDA & CONSENT ITEMS: Motion made by Darrell Beck, seconded by Jim Cooper, and carried without dissent= ion that the Agenda be accepted as presented.

MINUTES OF PREVIOUS MEETINGS: Motion made by Tom Taylor, seconde= d by Richard Wade and carried without dissention, that the board minutes of a regular meeting held on December 01, 2010 be approved as read.

SPECIAL PRESENTATION: (Mary Vail Executive VP, Ramona Community School Parent Teach= er, Student Association. (PTSA)

Mary requested that we= take on the task of preparing food for the Ramona Community School’s upco= ming spaghetti dinner/auction fundraiser. The dinner will be on March 10, 2011 at the school, with the food be= ing served from 6:00 pm – 9:00 pm. We would be required to cook enough food to serve approximately 300 people. The menu would include spaghetti, meat sauce, marinara sauce, Caesar salad, garlic bread sticks, lemonade, tea and water. All = food items would be purchased by the PTSA. Only a small kitchen facility is available at the school. Mary will check with school offici= als to determine if we could use the Ramona High School food service facilities to prepare = the food, in which case we would then have to deliver it to Ramona Community School. Our contact for the event would be Brenda Fonzi McGuinness, President, PTSA.&= nbsp; After Mary’s presentation we told her we would discuss her req= uest later in the meeting and then the secretary would notify Brenda. (Mary then departed prior to our continuing the meeting.)

SECRETARY’S REPO= RT & CORRESPONDENCE: Secreta= ry Jeff Funk read and/or provided information on the following:

Letter from Boy Scout Scotty Barber requesting financial assistance with Eagle project=

Division 37 Family Picnic (See New Business)

Cal-Nev-Ha Mid-Winter Conference (See New Business)=

All members except two have = payed their full dues. These two are making payments.

TREASURER’S REPORT: Treasurer Richard Wade report= ed that he is not comfortable with the large amount of money currently being p= aid out and that we are very close to having a cash flow problem, specifically = with our foundation funds. He noted foundation account balances as: Checking balance - $700.00, Money Market account - $2000.00, Certifi= cate of Deposit - $5,000.00. Howev= er, the CD doesn’t mature until March 2011. He recommends we tailor our spendi= ng to income and that we not pay additional budgeted items until the date the rec= eiving organization actually requires them. He further advised that we should transfer funds from our Administra= tive Account to our Foundation Account to cover scholarships and the HOBY progra= m..

Community Service: &n= bsp; Chairman Kelley Bayne didn’t submit a report.

Mary Halliday reported= that at least seven club members participated in gathering and delivering

64 non-perishable food= items to Ramona Food & Clothes Closet. (Jose Alvarado, Carol

Bazinet, Jeff Funk, Ma= ry Halliday, Denise Ragsdale, and Chris Smith, Brian Moore )=

Brian Moore reported t= hat three Kiwanis Club of Ramona representatives assisted at the Ramona Food &a= mp; Clothes Closet’s annual Christmas party for approximately 278 childre= n of local low income families.

Human & Spiritual = Values Chairman Michael Harrison’s d= idn’t submit a report.

Inter-club<= span style=3D'font-size:10.0pt;mso-bidi-font-size:12.0pt'>: &nb= sp; Chairman Bob Hailey didn’t submit a report.&n= bsp; Secretary reported that we completed

one interclub.

12/04= : &= nbsp; Kiwanis Club of Vista (DCM Host) - 4 members (Je= ff Funk, Mary Halliday, Chris Smith, Tom Taylor) attended

Service Leadership Pro= grams (SLP)= : Committee Chair Walter Ainsl= ie reported that no SLP projects were completed in December.

Young Children Priorit= y One & Seniors Priority Two: Committee Chai= r Mary Halliday’s written report stated that her committee:

1. Delivered 33 toys as w= ell as sweatshirts, and baby blankets to St. Mary’s in the Valley=

Episcopal Church Chris= tmas Outreach. Four members (Jeff = Funk, Ellen Deuel, Mary Halliday, Richard Wade) spent a total 40 hours on the project. Total cost was $75.00.

2. Delivered 46 toys to R= amona Head Start. Four members (Jeff Funk, Ellen Deuel, Mary Halliday, Tom Taylor) spend a total 20 hours on the project. Total cost was $30.0= 0.

Youth Services: Chairman Walter Ainslie reported that he spent five hours mentoring students in the Ramona = High School Robotics Program.

OTHER COMMITTEES:

Membership & Growt= h: Chairman Pat Bell was not in attendance. The secretary rep= orted that Anita Meyer (Carol Bazinett’s guest) has decided to not join our= club at this time. Discussion foll= owed regarding our not acting in a timely manner regarding membership applicatio= ns. Anita submitted her application an= d had attended five meetings; however a home visit was not completed.<= /span>

Publicity: = Chairman Tom Taylor noted that he has had great success in getting pictures and/or articles published. He provid= ed the secretary with copies of numerous items published in December 2010.

Insurance & Risk Management: Chairman Tom Taylor had nothing to report.

UNFINISHED BUSINESS:

Disposition of Old Club Utility Trailer: Darrell= Beck advised that the trailer has been turned over to Ramona Town Hall, Inc., however, he still need to get the DMV transfer done. The Secretary will provide Darrell= with the “Pink Slip” and Bob Hailey will research what other action and/or form is required.

New Trailer Status: Darrell= Beck reported he has bought and donated some equipment/tools/etc. for use in configuring the trailer for our use. He plans to build wooden shelves.

Relay for Life: Bob Hailey is coordinating our pre= paring food for the event and Walter Ainslie reports that he has our relay team in place. Jim Cooper volunteered= to provide shelters/tents of the use of our participants. The event will be on May 1, 2011 at Wilson Stadium.

Audit of 2009-10 Club Financial Records: Treasurer, Richard Wade noted he will get required records to Ellen Deuel this week. Ellen will t= hen complete the audit and report results at our March 2011 board meeting.=

NEW BUSINESS:

Boy Scout Eagle Scout Project: The board discussed helping Scotty = Barber with his proposed Eagle Scout project of planting trees, bushes, and the purchase of a flagpole and other material for the new Ramona Library. Total cost is anticipated to be ar= ound $2000. The board directed tha= t our Secretary contact the Scotty and invite him to present his project plan to = us at our next board meeting on February 2, 2011.

= Ramona Community School Spaghetti Dinner: (See Special Presentation by Mary = Vail on page 1 of these minutes.) = Board members agreed that this would probably be a good project for us to take on. However, concerns were expressed regarding where we would prepare the food, etc. Bob Hailey said he would contact o= ur “food service expert”, Pat Bell regarding his thoughts. Bob will also talk to the membersh= ip on Saturday, January 8, 2011 to determine whether members are interested in participating in this proposed service project.

Division 37 Family Picnic: Chris Smith is our representative = for this picnic to be held on August 7, 2011 at Lake Poway. In correspondence from Walt Schuet= te, Division Picnic Coordinator, it would appear that Chris has volunteered us = to provide “Wandering Musicians” (the KiwaniKats), and a Barber Sh= op Quartet (??) for the event. T= here will be a meeting of club picnic representatives on Saturday, January 8, 20= 11 immediately following the Division 37 Council Meeting. Bob Hailey will contact Chri= s for an update. Should Chris not be available for the meeting, Bob Hailey or Jeff Funk will attend.<= /span>

Cal-Nev-Ha Mid-Winter Conference: The board decided to not register = 100% of our membership for this event. As few members actually attend 100% registration at $360.00 in not c= ost effective. The club has budge= ted for individual registration of $40.00 each for the Club President and Secretary. The conference wil= l be held at the Town & Country Hotel in Mission Valley. Breakfast will be available for $2= 1.00, lunch for $30.00, and a Gala Dinner for $75.00

Obligations for Budgeted Items: Motion made by Walter Ainslie, sec= onded by Jim Cooper, and carried without dissention, that we authorize the Treasu= rer to transfer funds as necessary from the Administrative Account to the Foundation Account to cover scholarships and the HOBY program; and that we freeze spending additional funds from the Foundation Account without specif= ic board approval.
