A REGULAR MEE= TING of the 2010-11 Board of Directors met at St. Mary’s-In-The-Valley Episcopal Church, Corner of San Vicente Rd. and 12^th St., Ramona= , CA 92065. The meeting was called to or= der at 5:58 p.m. by President Chris Smith

MINUTES OF PREVIOUS MEETINGS: Motion made by Darrell Beck seconded by Richard Wade, and car= ried without dissention, that the board minutes of a regular meeting held on 02/02/11 be approved as corrected..=

PRESIDENT’S REPORT: None

SECRETARY’S CORRESPONDENCE & REPORT:

1. Received Letter & Donation of four tickets from SeaWorld. These tickets, valued at $69.99 ea= ch, will be used as prizes at our upcoming Bow-Wow-Pow-Wow Dog Show.

2. Attended Cal-Nev-= Ha Mid-Winter Conference. Mary Halliday also attended.Kiwanis Club of

3. Sent letter of su= pport for the Ramona Mural Project.

4. Received email from Kia Turner, a recent club sponsored HOBY conference attendee. Kia has started an “Invisible Children’s Club” at RHS and is seeking to raise money and aware= ness of the children affected by the wars going on in Nor= thern Uganda.

5. Received email from Dave Schmitt, Region 2 Trustee, reminding us about the joint Division 21/37 Region 2 Conference to be held on Saturday, March 12. During the conference, a new trust= ee is to be elected. A catered lunc= h will be served at the cost of $12.00 per attendee. (See under New Business.)

6. Received Nonprofit Raffle Registration Confirmation from the Attorney General &= nbsp; &nbs= p; &= nbsp; for our Bow-Wow-Pow-Wow Dog Show

7. Prepared and mailed $20.00 fee and form SI-100, Statement of Information Filing to California Secretary of State. Noted that this filing must be submitted every other year in odd yea= rs, and anytime we change officers. Thus, it is basically an annual requirement.

TREASURER’S REPORT: Reviewed and filed as a permanent par= t of these minutes.

1. &n= bsp; Reviewed “Reconciled” Treasurer’s Financial Report for February 20= 11. Noted that

Administrative Budget is in good sh= ape; however our Foundation Account balance is extremely low.

2. &nb= sp; Will probably need to transfer money from Administrative Account to Foundation Account in order to present our budgeted $500.00 donation to the Ramona Senior Center on Saturday,= March 5, 2011. (See New Business)

3. Noted that Ellen = Deuel had intended to present the completed audit at this meeting, however,

due to health problems, has been unable to complete it. She is working on it, and hopes to present it at our April board meeting.

4. Said that he had submitted all required tax forms for the year.

Community Service: Chairman Kelley Bayne didn’t = submit a report.

Human & Spiritual Values:<= span style=3D'mso-spacerun:yes'> Chairman Michael Harrison didn’t submit a report.

Inter-club: Chairman Bob Hailey reported that no interclubs were completed during February.

Service Leadership Programs (SLP)<= /u>: Chairman Walter Ainslie reported th= at no SLP projects were completed during February.

Young Children Priority One: Chairman Mary Halliday reported the following:

      1.   Made 40 Pediatric Trauma Doll= s for Children’s Hospital. (1= Kiwanian, - 0 cost)

      2.   Delivered 40 books to Ramona Elementary School. (1 Kiwanian -t 0 cost)

      3.   Delivered 10 books to Ramona = Heat Start. (1 Kiwanian - 0 cost)<= /p>

Youth Services: Chairman Walter Ainslie reported 70= hours mentoring students of the Ramona High School Robotics Program. (1 Kiwanian – 0 cost)

OTHER COMMITTEES:

Membership & Growth:   Chairman Pat Bell was not in attendance. The secretary rep= orted that Jessica Hickman, sponsored by Jeff Funk, was inducted on February 26^th&n= bsp; The secretary also noted that the three guest speakers brought in by= KOD Jim Cooper on February 26^th are interested in attending addition= al meetings, with the thought of perhaps joining.

Publicity: Chairman Tom Taylor briefed us, and provided copies to the secretary, on the numerous club activities which appeared in local publications during February.

UNFINISHED BUSINESS:

Glae Mc Donald Scholarship Procedure: Secretary reported that concer= n had been expressed regarding whether we really intended to include San Pasqual Academy graduates as being eligible to apply for our scholarships. After discussion, the board’s consensus was that we leave San Pasqual graduates as being eligible.

Ramona Commu= nity School Spaghetti Dinner: Bo= b Hailey advised that another organization will be taking care of this dinner, thus = no further action by our club is required.

New Trailer Status: Darrel= l Beck reported that Pat Bell has yet to look at the trailer and provide details n= ecessary to reconfigure it for our needs. Darrell noted that we must have it ready in time for our upcoming Kiwanis/Rotary MusicFest on April 9, 2011.= Thus, it is of utmost importance that Pat advise Darrell on what work needs to be done.

July 4^th Fireworks<= /b>: Bob Ha= iley has received no further information on this subject from the Rotary Club. However, Walter Ainslie noted he v= olunteered to assist with parking, and will be “begging” for help from oth= er club members.

Relay for Life: Walter Ainslie said he intends to = assist those volunteers from our club who have yet to register as walkers for this event. Walter also said that = Cub Scout Pack 679 (sponsored by our club) has volunteered to assist. He suggested that they might serve= as “Waterboys” and requests our input regarding other possibilitie= s. The next Relay for Life meeting wi= ll be on March 17^th.

Kiwanis Road Sign:

As tasked= by the President at our February board meeting, the Secretary contacted the Chambe= r of Commerce requesting permission for our club to post a Kiwanis sign on the Ramona Community service sign display on the highway coming into Ramona from Julian.

02/03: Called Chamber Office and the pers= on answering couldn’t provide an answer.

02/04: Send email to Chamber requesting we= be authorized to install such a sign.

03/02: Having received no answer to the e= mail, secretary visited the Chamber Office and was told

That the Chamber of Commerce has nothing to do with the current signs posted on = the highways leading into Ramona and he no knowledge who is responsible for the signs.
03/02: Cr= aig Jung, Chamber Executive Director requested the secretary present a new sign=

option to= our board for consideration. For $100.00 we could help support a= Boy Scout with

his Eagle= Scout project. The scout is buildin= g a sign post display of local service clubs and other non-profit organizations. The display will be on Highway 67 = in front of the Schwaesdall Winery. The Chamber of Commerce is officially sponsoring the project. A $100.00 donation would include purchase and insta= llation of a Kiwanis sign. Consensus = of board members was that such a donation is a good idea. Publicity Chairman Tom Taylor said= he would pay the $100.00 donation from our approved budget for publicity.

NEW BUSINESS:

Budget Work-Up Spreadsheet: Chris Smith presented a spread she= et he proposes be used in disbursing funds from our Administrative and Foundation Accounts. The document includ= es annual proposed items for budget, budget approved items, expected month to spend each item, and the point person on record for each expense. Use of such a document would great= ly assist us in actually dispensing approved items only at such time when actually required, thus preventing the payout of most of our funds at the beginning = of the Kiwanis year.   Chris requests that each “Point Person on Record for Expenses” provide him with the anticipated expe= nse month for each item.

Transfer of Funds: Motion made by Richard Wade, seconded by Mary Halliday that we trans= fer $500.00 from our Administrative Account to our Foundation Account in order = to insure we may safely present a $500.00 donation to the Ramona Senior Center on March 5, 2011. Chris Smith amended the motion to include that such transfer be made “if actually needed̶= 1; by Treasurer Richard. Wade. M= otion as amended carried without dissention.

Club Delegates for joint Division 21/37 Regional Conference: Motion made by Chris Smith, se= conded by Walter Ainslie, and carried without dissention, that Jeff Funk and Mary Halliday be designated as our Delegates for= the Joint Divisions 21/37 Regional Conference on March 12, 2011 to elect a Regi= onal 2 Trustee for Kiwanis Year 2011-12. Chris said he would use the President’s Discretionary Funds to= pay the required lunch $12.00 lunch cost of each delegate.
